Proclinical is advertising a vacancy for an Administrative Assistant with a leading pharmaceutical company. This organisation prides itself on its strong portfolio of medicines for hypertension and thrombotic disorders, along with its dedication to bringing forth novel therapies in oncology, immune-oncology, pain management, neurodegenerative diseases, and heart and kidney diseases. Based in Copenhagen, this position offers an exciting opportunity to work with a historic company with a rich legacy of innovation by supporting administrative topics in an expanding affiliate. This is an interim role, lasting for a six month contract period.
Job Responsibilities:
- Ensure back office support for the local Nordics team.
- Provide clerical support to General Manager Nordics, including correspondence, travel, meeting planning
- Coordinate and manage complex calendars, daily planner, expense reports, document generation and follow up, and general typing.
- Administrative support to department, including distribution of meeting materials, coordination of meetings, taking meeting minutes
- Work in a team-oriented environment
- Draft and edit documents and develop PowerPoint presentations as well as developing and handling of complex Excel Workbooks.
- Responsible for administration, filing and archiving of critical department documents
- Acting as a coordinator of information and communication within the team
- Managing phone calls, mail and email, clarifying/highlighting required actions and responses
- Planning and organization of activities, such as off-sites, company events, special occasions
- Developing and refining administrative procedures using technology to streamline processes
- Proactively picking up and independently driving and timely completing tasks/projects including support for marketing projects and sales projects
- Support the budget process / handling contracts, signatures, invoices
Skills and Requirements:
- An education in Administration/Business, or equivalent.
- Preferably experience as Senior Assistant or Team Assistant supporting a local commercial or medical team
- Experience working in an international environment (preferably within the pharmaceutical industry)
- Demonstrable multitasking, project management, and execution skills.
- Good interpersonal skills, including communication, presentation, persuasion, and influence.
- Good organisational skills, including efficiency, punctuality, and collaboration in a team environment.
- Proficiency with computer skills, such as MS Office.
