IT Specialist - Document Management & IP

Proclinical is seeking an IT Specialist with expertise in Document Management and Intellectual Property (IP) systems. In this global role, you will oversee the management and optimization of document management systems (e.g., M-Files) and IP management platforms. Your focus will be on ensuring system functionality, implementing updates, and driving process improvements. This position requires flexibility to occasionally work during European time zones to support stakeholders effectively.

Responsibilities:

• Act as the subject matter expert for M-Files and IP management systems.
• Collaborate with users to identify practical solutions, configure systems, conduct unit testing, and provide training and documentation.
• Assist in requirements gathering, solution design, development, deployment, migration, testing, and documentation.
• Manage lifecycle processes to ensure systems are up-to-date and functioning optimally.
• Address daily support tickets within your area of responsibility.
• Drive system changes and updates in collaboration with IT colleagues, business lines, and external consultants, ensuring proper documentation.
• Provide consultancy on best practices for system design and implementation.
• Build strong relationships with stakeholders across regions and ensure effective communication.

Key Skills and Requirements:

• Bachelor's degree in computer science, information systems, software engineering, or a related field.
• Experience with document management and IP management solutions; familiarity with M-Files is advantageous.
• Strong understanding of software development methodologies and application lifecycle management.
• Proven problem-solving skills and ability to troubleshoot technical issues efficiently.
• Experience in stakeholder engagement and expectation management.
• Analytical mindset with the ability to interpret data and drive decision-making.
• Adaptability to work in a dynamic environment with shifting priorities.
• Excellent oral and written communication skills in English.
• Ability to collaborate effectively with colleagues from diverse cultural backgrounds.
• Flexibility to work late hours occasionally to support stakeholders in different time zones.
