An internationally leading pharmaceutical company is seeking to recruit an Assistant, Haematology & Oncology to their office in Switzerland. Specialising in multiple therapy areas, the company boasts a superb pipeline with products that include treatments for diabetes, cancer and asthma. This is an exciting opportunity to work with a company that operates in over 90 countries across the globe.

Job Responsibilities:

  • Manage purchase orders and processes accounts payable invoices including OPEX tracking and accruals
  • Be responsible for vendor management (set up and manage in online platform)
  • Manage contracts, negotiations, and cooperation with Health care professionals (HCP, hospitals, hospital pharmacists) and external suppliers (event-management agencies, hotels, graphics, print, transportation, etc).
  • Manage the schedules of those supported; schedule meetings and make travel arrangements for department members, visitors, partners, and vendors as necessary.
  • Prepare correspondence, spreadsheet reports, and presentations as directed.
  • Attend department meetings, take and distribute meeting minutes.
  • Provide telephone support; assume responsibility for copying, faxing, and developing and maintaining filing systems.
  • Complete expense reports for senior members using the provided electronic system.
  • Provide back-up for other administrative assistants as required.
  • Manage and supervise external events (conferences, lectures, symposia) with KOLs participation in Switzerland and abroad.
  • Provide logistics management for local team participation in internal and corporate events (Kick-Off Meetings, internal sales cycle meetings, trainings, team-buildings) in Switzerland and abroad.
  • Handle Key opinion leaders (KOL) invitations and contracts.
  • Ensure proper travel support to invited physicians and local Shire employees (travel documentation, transportation services, accommodation).
  • Coordinate and execute preparation of local marketing materials.
  • Execute and track medical-legal approval processes as back up for PMs (Veeva).
  • Provide coordination and support for 3d party service providers (Agencies, Translation services, printing companies etc.).

Skills and Requirements:

  • Fluent in speaking and writing German, English and French languages.
  • At least 5 years of related experience in a similar position.
  • Experience with purchase orders and accounts management systems/software (preferably SAP).
  • Requires strong attention to detail in composing materials (incl. promotional material), establishing priorities, scheduling meeting and arrange travel itineraries.
  • Demonstrable multitasking, project management, and execution skills.
  • Good interpersonal skills, including communication, presentation, persuasion, and influence.
  • Good organisational skills, including efficiency, punctuality, and collaboration in a team environment.
  • Proficiency with computer skills, such as MS Office.
