Proclinical is seeking a Facilities Ops Specialist to support fleet operations and management activities. This role is based in Stockley Park and requires a minimum of three days onsite per week. You will play a key role in ensuring smooth day-to-day fleet operations, delivering excellent customer service, and maintaining compliance with fleet policies and sustainability goals.
Responsibilities:
- Manage daily fleet operational activities in collaboration with preferred fleet suppliers.
- Serve as the central point of contact for employees within the company car scheme, ensuring exceptional customer experience and service excellence.
- Produce fleet management reports, including fuel audits, car fleet payroll, and taxable benefit reports, adhering to reporting schedules.
- Coordinate weekly HR data flow between the company and fleet suppliers, prioritizing onboarding and leaver processes.
- Maintain surplus vehicle logs and proactively reallocate vehicles in line with car policy.
- Perform quarterly emissions sustainability procedures as directed by the Fleet Director.
- Host periodic operational meetings with fleet suppliers as needed.
- Handle other operational fleet management tasks as required.
Key Skills and Requirements:
- Strong written and verbal communication skills.
- Excellent attention to detail and ability to perform numeric analysis confidently.
- A proactive, problem-solving mindset with the ability to multitask effectively.
- Proven ability to build trusted stakeholder relationships and engage proactively with fleet suppliers.
- Proficiency in Microsoft Excel, Word, PowerPoint, and Tableau (preferred).
- Certification from IFCM (Institute of Car Fleet Management) or another recognized fleet management body is desirable.
