Sr. Workplace Coordinator - Contract - Tarrytown, NY
Proclinical is seeking a Sr. Workplace Coordinator to support workplace operations and project management activities in NY.
Primary Responsibilities:
The successful candwill focus on providing exceptional customer service, managing furniture, fixtures, and equipment (FFE), and coordinating Moves, Adds, and Changes (MAC) activities. You will also play a key role in space planning, vendor management, and ensuring seamless execution of workplace projects.
Skills & Requirements:
- Knowledge of space planning processes and experience with construction and furniture projects.
- Strong organizational, interpersonal, and communication skills.
- A customer-focused mindset with a commitment to delivering excellent service.
- Ability to read and interpret floorplans.
- Proficiency in Microsoft applications, with intermediate to expert-level Excel skills.
The Sr. Workplace Coordinator's responsibilities will be:
- Deliver excellent customer service for FFE and MAC activities.
- Oversee project phases to ensure schedules and goals are met.
- Maintain and track budgets, schedules, project documentation, and space efficiencies, taking corrective actions as needed.
- Collaborate with internal teams to ensure effective communication and coordination across departments.
- Lead the planning and execution of daily operations and project activities.
- Validate space reconfigurations with workplace planners to ensure compliance with design and lab standards.
- Manage internal resources and external vendors to complete MAC and projects with minimal disruption.
- Act as the primary liaison between workplace planners and end-users, resolving scheduling and implementation conflicts professionally.
- Prepare for move activities and coordinate with move managers to ensure spaces are ready for occupancy.
- Work with vendors to generate proposals for FFE or labor, schedule deliveries, and oversee installations.
- Support ordering and installation of office furniture, ergonomic accessories, or lab equipment as directed by senior team members.
- Manage and coordinate TriRiga IWMS workstreams, including maintaining employee location data.
- Oversee wayfinding signage installation and furniture inventory in collaboration with fellow coordinators.
- Handle vendor management tasks, including invoicing, purchase orders, budget forecasting, and annual closeouts.
- Participate in construction project meetings as required.
- Apply policies and procedures to make decisions, escalating issues to management when necessary.
