Program Coordinator - Contract - Philadelphia, PA
Proclinical is seeking a Program Coordinator to provide executive-level support within a dynamic dermatology research environment.
Primary Responsibilities:
The successful candidate will focus on supporting departmental faculty leaders and managing special projects, academic events, and program coordination.
Skills & Requirements:
- Bachelor's degree or equivalent combination of education and experience.
- Experience in a high-volume, fast-paced office environment preferred.
- Strong organizational and communication skills.
- Ability to manage multiple tasks and maintain confidentiality.
- Proficiency in project management and event coordination.
- Strategic thinking and relationship-building capabilities.
The Program Coordinator's responsibilities will be:
- Provide administrative support for departmental Vice Chairs, including calendar management, meeting logistics, and correspondence preparation.
- Schedule and support high-level meetings, prepare minutes, and ensure secure document filing.
- Act as a liaison for Vice Chairs with various university and external entities, maintaining confidentiality.
- Manage travel arrangements and reimbursements for national and international engagements.
- Support project and program management for disease-based programs or centers, coordinating meetings and events.
- Ensure compliance with grant requirements and institutional standards.
- Plan and execute conferences, retreats, and seminar series.
- Oversee website content for trainees and candidates.
- Build strong relationships with directors, physicians, and administrative leaders.
- Provide administrative assistance for select research faculty, including calendar management and expense reporting.
- Maintain documentation for reports and faculty credentials.
- Coordinate departmental newsletters and special events.
- Supervise a team of post-bac students and temporary employees, providing training and guidance.
