Proclinical is seeking an IT Coordinator located in Morristown, NJ with a biopharmaceutical company.
Job Responsibilities:
- Supports IT contract management, financial approvals, and invoicing process; this will include moving contracts through the legal review process and liaising with the vendor business partner and the company until contract is settled
- Acts as a subject matter expert for the Procure-to-Pay process, legal contracting process, and invoice payment process for IT
- Receives and processes invoices from various business partners throughout the year
- Submits purchase requisitions within Workplace for PO processing and vendor service contract initiation for IT
- Leads projects working closely with Procurement and Accounts Payable to rectify billing/payment issues with vendors
- Maintains and updates PO, Invoices and Contract reports within SharePoint and provides support for month-end accruals and budget reviews/updates
- Manages vendor onboarding and ID creation for new business partners
- Collects, files, and reports on receipts to reconcile business credit card report at the end of each month
- Coordinate meeting arrangements in support of Chief Information Officer and his direct reports
- Schedule meeting(s) with internal and external groups as needed, including organizing all meeting logistics (availability of attendees, meeting rooms and equipment, video conferencing and catering as required)
- Assist with travel needs in accordance with company's travel policy (air, hotel, car, visa, etc.)
- File expense reports using an online system (Concur)
- Assist with creating and editing executive/departmental documents and presentations, type and format confidential and non-routine documents
- Establish, update, and maintain departmental files and records (paper and electronic)
- Screen telephone calls, take messages, redirect calls, and respond to routine inquiries regarding departmental business
- Provide backup support to other administrative assistants and receptionist as needed
- Understand the legal and compliance environment and drive collaboration with the Legal and Compliance team.
Skills and Requirements:
- Associate's or Bachelor's degree preferred
- 3+ years of related administrative experience in pharmaceuticals/biotechnology preferred
- Demonstrated exceptional MS Office skills (Word, Excel, Outlook, and PowerPoint).
- Must be able to work 9:00 am to 5:00 pm
- Experience with support of remote management and team members
