Administrative Coordinator - Contract, Part-time - Philadelphia, Pennsylvania

Proclinical is seeking a dedicated and organised Administrative Coordinator. This is a temporary contract for a part time position based in Philadelphia, Pennsylvania.

Primary Responsibilities:

This role involves providing comprehensive administrative support to faculty members, including those in leadership positions. The successful candidate will be involved in coordinating academic events, managing schedules and assisting with various academic projects.

Skills & Requirements:

  • High School Grad/GE Degree.
  • Previous experience in an Administrative Assistant role or similar position in a high volume, professional office environment.
  • Detail-oriented individual with excellent communication and organisational/time management skills.
  • Ability to handle multiple tasks with simultaneous deadlines.
  • Ability to represent the office and department in a professional manner, maintain confidentiality at all levels, and work with diverse constituencies.
  • Proficiency in various computer software products (MS Teams, Word, Excel, PowerPoint, Outlook, Canva, Adobe, Zoom, etc.).

The Administrastive Coordinator's responsibilities will be:

  • Manage and coordinate calendars, ensuring all logistics and necessary documentation are prepared for meetings.
  • Prepare and distribute correspondence, written materials, and documents in a timely manner.
  • Serve as a liaison to various administrative units within the University and external affiliations.
  • Maintain confidentiality and discretion in all responsibilities.
  • Manage travel arrangements and reimbursements for national and international meetings.
  • Prepare and track reimbursement requests for faculty expenses.
  • Coordinate complex expense reporting for proper reimbursement.
  • Assist with the preparation of various reports for select faculty and department initiatives.
  • Maintain current CV and BioSketch for select department faculty.
  • Provide support for departmental events, including coordination and record maintenance.
  • Perform standard office functions such as answering phones, scheduling meetings, and maintaining files.
  • Provide academic-focused administrative support to specific programs as deemed a priority by department leadership.
