Proclinical is seeking an HR Data Specialist to support the accurate and timely processing of employee time, absence, and leave data within the Workday Human Capital Management system. This role involves ensuring compliance with legal and internal requirements while providing exceptional support to employees and managers across the EMEA region. You will play a key role in maintaining data integrity, supporting payroll processes, and contributing to process improvements in a dynamic HR operations environment.
Responsibilities:
- Administer and maintain time off, time tracking, and leave-of-absence transactions in Workday.
- Review and approve employee and manager-submitted transactions.
- Enter and correct backdated transactions as needed.
- Ensure all data is processed accurately and meets payroll and statutory deadlines.
- Maintain accurate employee records and ensure compliance with legal and internal standards.
- Review system reports to identify and resolve discrepancies in Workday data.
- Preserve confidentiality of sensitive employee information.
- Communicate with employees to facilitate smooth leave transitions.
- Liaise between employees and managers regarding leave and return-to-work actions.
- Escalate complex cases to HR Advisors or Rewards Specialists when necessary.
- Provide predefined employment letters based on established guidelines.
- Identify and troubleshoot system or process gaps, escalating issues as needed.
- Recommend improvements to time and leave policies based on feedback.
- Update process documentation, workflows, and internal knowledge content.
- Collaborate with HR Advisors, Rewards Specialists, and the HR Capability Center team.
- Participate in special projects and ad-hoc assignments.
Key Skills and Requirements:
- Experience with time, absence, or leave-of-absence processes.
- Strong understanding of HR data accuracy and compliance requirements.
- Hands-on experience with HRIS/HCM systems, preferably Workday.
- Proficiency in MS Excel, including VLOOKUP, Pivot Tables, and data manipulation.
- Experience in a fast-paced HR operations or shared services environment.
- Additional language skills (e.g., German, Spanish, or French) are desirable.
- Exceptional attention to detail and commitment to data accuracy.
- Strong written and verbal communication skills.
- Ability to manage sensitive information with discretion.
- Quick learner with effective application of new knowledge.
- Strong problem-solving skills and ability to troubleshoot issues.
- Collaborative team player with the ability to work independently when required.
- Comfortable working in a continuously changing environment.
