ProClinical is partnering with a leading US biopharmaceutical organisation to advertise a new Executive Assistant job opportunity. The Executive Assistant will report to the Sr. Director of Procurement and provide administrative and clerical support to an individual manager, department, and/or group of managers.

Job Responsibilities:

  • Coordinating functional administrative activities which support PDM Finance, Sourcing, and overall Finance operations
  • Providing administrative and clerical support to the departments interview process; creating and distributing agendas, collecting assessment forms, and scheduling and making travel arrangements.
  • Organizing and scheduling intra and extra-departmental meetings; coordinating cross functionally with other admins.
  • Ensuring computer equipment and all new hire materials are arranged for the persons first day.
  • Tracking and verifying data using a variety of software to conduct data entry and sorting information.
  • Liaising with external agencies or organizations to coordinate activities which are important to the function of the department.
  • Gathering, collecting, recording, tracking, and verifying relatively complex data and information from multiple sources.

To Apply:

  • A Bachelor's Degree.
  • At least 2 years of EA experience.
  • Demonstrable multitasking, project management, and execution skills.
  • Good interpersonal skills, including communication, presentation, persuasion, and influence.
  • Good organisational skills, including efficiency, punctuality, and collaboration in a team environment.
  • Proficiency with computer skills, such as MS Office, Concur, and Visio.
