Proclinical is seeking a detail-oriented and proactive Executive Assistant to work within supporting the senior leadership team in a dynamic, global environment. This role involves providing comprehensive administrative and operational support to the Senior Vice President of Global Medical Affairs Oncology. You will play a key role in managing schedules, coordinating events, and handling sensitive information, ensuring smooth operations within the team.
Please note that to be considered for this role you must have the right to work in this location or hold an EU passport.
Responsibilities:
- Manage complex calendars and international travel arrangements for the SVP.
- Oversee incoming and outgoing correspondence, ensuring timely and proactive responses.
- Handle confidential and sensitive information with discretion.
- Plan and arrange meetings, conference calls, town halls, and events, including logistics, catering, and technical setup.
- Coordinate pre-reads, agendas, and materials for internal and external meetings.
- Process expense claims, invoices, and purchase orders in line with company policies.
- Support onboarding activities for senior leaders within the team.
- Take meeting minutes, manage agendas, and maintain SharePoint team sites as needed.
- Liaise with internal departments, external organizations, and other administrative assistants.
- Prepare correspondence and presentations by researching relevant content.
- Provide general administrative support to other team members as required.
Key Skills and Requirements:
- Experience supporting senior-level executives, such as C-Suite or Vice Presidents.
- Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel) and virtual collaboration tools like MS Teams.
- Strong organizational and time management skills, with the ability to prioritize tasks effectively.
- Excellent oral and written communication skills in English; knowledge of German is a plus.
- Ability to work independently, take initiative, and adapt to a fast-paced environment.
- High level of discretion and professionalism when handling sensitive information.
- Strong collaboration and relationship-building skills, with a team-oriented mindset.
- Familiarity with working in a matrixed or international organization is preferred.
- Flexibility to attend occasional business trips if required.
