Programs Operations Coordinator - Contract to Permanent - Onsite

Proclinical is seeking a Master's and Certificate Programs Operations Coordinator to join an innovative medical program. This is a contract to permanent role located in Philadelphia, PA.

Primary Responsibilities

The Operations Coordinator will work closely with the MaC team including the Associate Dean, Director of Education, Registrar, Program Coordinator, and individual program directors and staff. This position is on a hybrid schedule with a work week divided between working onsite and working remotely.

Skills & Requirements:

  • Bachelor of Arts, Bachelor of Science, Bachelor of Fine Arts, and 2 to 3 years of experience or equivalent combination of education and experience is required.
  • COVID-19 vaccination is a requirement
  • Must be eligible to work in the US.

Job Responsibilities:

  • Manage projects aimed at improving the student experience, creating efficiencies across programs, and supporting the overall operations of MaC.
  • Serve as the MaC lead for managing the graduate admissions system, Slate, as well as the supplemental Admissions Data Import Tool (ADIT).
  • Collaborate with the thirteen MaC programs as well as the Office of the Provost to ensure that the Slate and the supplemental admissions systems that utilize ADIT meet program needs while also upholding standards.
  • Develop a deep knowledge base of admissions criteria for each program to provide consultative feedback such that promotes both effectiveness and efficiency of the admissions process.
  • Serve to manage the annual update process for all MaC admissions applications developed in Slate and provide tier 1 support to program staff as it relates to both Slate and ADIT system use.
  • Serve as the project manager for MaC-sponsored events such as the annual student colloquium, faculty and staff development opportunities, and those hosted by IDEAL MaC.
  • Serve as project manager for cross-program projects and working groups.
  • Manage various communications that are shared by the MaC Central team. This includes maintaining an accurate membership of list-servs; collecting, drafting, and scheduling staff and student newsletter content; maintaining websites.
  • Liaise with program staff to ensure content is consistent and accurate.
  • Provide administrative support to MaC faculty and leadership in various tasks including, but not limited to, scheduling and taking minutes for meetings.
