Proclinical is seeking an HR Shared Services Systems Specialist to join a dynamic team in The US. This is an excellent opportunity for someone who thrives in a fast-paced environment and is passionate about delivering exceptional HR services.

Primary Responsibilities:

The successful candidate will play a key part in managing and enhancing the onboarding process for new hires, ensuring a seamless and positive experience. You will collaborate with various departments to ensure all onboarding elements are completed efficiently and in compliance with internal policies and labor laws.

Skills & Requirements:

  • Bachelor's degree or equivalent work experience.
  • Experience with HRIS systems such as SuccessFactors, Workday, or Oracle.
  • Ability to thrive in a fast-paced environment while maintaining strong organizational and prioritization skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint.
  • Strong client service skills with the ability to build and maintain effective working relationships.
  • High attention to detail and a commitment to delivering quality work.

The HRSS Systems Specialist's responsibilities will be:

  • Coordinate and manage all administrative aspects of the onboarding process, including welcome emails, onboarding portal updates, orientation logistics, documentation, and I-9 verification.
  • Act as the primary point of contact for new hires, providing support and guidance throughout their onboarding journey.
  • Collaborate with hiring managers, IT, payroll, and other departments to ensure timely completion of onboarding tasks.
  • Organize and support orientation sessions, including scheduling, agenda preparation, and travel arrangements.
  • Continuously review and improve onboarding workflows, checklists, and communications to enhance the new hire experience.
  • Ensure compliance with internal policies and labor laws, including proper collection and storage of documentation such as I-9 forms, tax forms, and NDAs.
  • Maintain and update onboarding materials and knowledge base content to reflect current processes and branding.
  • Track and analyze onboarding metrics, such as time-to-productivity and feedback, and recommend improvements.
  • Support broader HR operations, including managing incoming requests via ServiceNow, tracking service level agreements (SLAs), and producing regular reports on ticket trends.
