Role:

Based in Philadelphia, and reporting to the US Accounting & Payroll Specialist, this role will be responsible for preparing payroll for all full-time and contract employees in the US. The role will be required to cover all day-to-day responsibilities associated with payroll and liaise directly with multiple stakeholders to provide real time-information to a high paced business undergoing a period of rapid growth.

Specific tasks include; reviewing timecards for accuracy and approval, loading and balancing time cards, entering payroll data into ADP, and entering new hire data for new employees such as tax, auto deposit, etc. This role will also serve as a point of contact to all employees and will be expected to answer questions by email or phone as needed. Maintaining accurate employee files and payroll reports/records, and managing changes to 401K plans and benefits plans, will be a critical element of the role.

Job description:

  • Provide the day-to-day payroll functions under the direction of the Accounting & Payroll Specialist
  • Prepare and maintain accounting records, journal entries and schedules
  • Process timesheets & expenses for staff, W2 contractors and 1099 contractor's payroll for review and sign-off
  • Reconcile payroll transactions using various pre-established reports
  • Ensure the accuracy and issuance of W-2's
  • Act as resource to create special reports for management; knowledge of payroll system (information captured) and ability to create reports quickly and accurately
  • Ensure compliance with payroll regulations
  • Ad hoc work with the Finance and HR functions as required

Job Qualifications:

Minimum experience / qualification expectations:

  • Some prior experience in Payroll or any combination of education, experience or training that would provide the level of knowledge, skill, and ability required.
  • Proficiency with Microsoft Office applications
  • Some knowledge of general payroll practices, IRS and State regulations
  • Some proficiency in working with payroll systems
  • Detail-oriented and able to manage time independently & efficiently
  • Good communication skills, both written and verbal
  • Able to work independently and as a team member and able to liaise with multiple stakeholders (Staff to Directors) across the Group

Advantageous experience / skills:

  • Experience in a recruitment environment
  • Sage 200 & ADP payroll
