Proclinical, an international life sciences and pharmaceutical staffing firm, is seeking a Junior Operations Associate to join our growing team in Philadelphia, PA.

Job Responsibilties (include but not limited to):

Systems Admin

  • Cube 19 - add new hires, enter and adjust KPIs as needed, set teams and tags and update quarterly, password resets.
  • Bull Horn - add new hires, manage permission levels, set departments, set signature in BH for mass mails, troubleshoot errors, and escalate to BH support.
  • Keybridge - complete new hire set up forms (phone number, extension), work with KB to get set up. US liaison for KB, coordinate with Sunrise to purchase new IT equipment as needed.
  • Cloudcall - line additions, setting up users and linking app to BH, adding app to their mobile phones, monitor plan changes, billing, training, troubleshooting. Sending daily call times report to US team.
  • T-Mobile - line additions, cancellations, billing.
  • Daxtra - update new employees BH ID for ownership, have access to Daxtra inbox to check queried CVs.
  • WeWork - member additions/terminations, new employee key cards, set up printer access on computers, billing, contract changes, service requests, coordination of meeting rooms, monitor lease terms.
  • Job Boards - serve as key point of contact, monitor usage, seat/license maintenance (CareerBuilder, Monster, etc).
  • Troubleshooting- hardware and software repair.

Office Admin

  • Supply Orders - processing all supply orders for Philadelphia office, send invoices to accounting.
  • Manage the "Employee of the Month" voting and award process by distributing Survey monkey, collecting results, and sending to HR (other awards and contests as appropriate).
  • Order business cards for new hires, promotions, and transfers.
  • Send out Employee birthday acknowledgment emails.
  • Receive mail and packages from front desk daily, ensure that outgoing mail and packages are sent in a timely manner, monitor tracking and providing updates when necessary.
  • Assist HR with ad hoc projects (contractor onboarding, maintain I9 binder, etc.)
