Proclinical is recruiting for a research-based biopharmaceutical company that discovers, develops and commercialises innovative medicines in areas of unmet medical need. Proclinical is recruiting for a Senior Administrative Assistant Specific position to provide administrative and clerical support to the company's teams and ensure the smooth operational running of company affairs.

Job Responsibilities:

  • Providing administrative and clerical support to the Director of the UK RPM team (with some support for joint activities with the US RPM team), the UK-based RIS and Medical Writing teams, the ROW Publishing team, and the Document Processing and Compilation team.
  • Supporting the teams with meeting arrangements.
  • Booking and organising travel for teams including flights and hotel bookings.
  • Preparing expense claims.
  • Raising purchase orders.
  • Providing administrative and clerical support for the interview process, which includes creating and distributing agendas, collecting assessment forms and scheduling and making travel arrangements.
  • Organising and scheduling extra-department meetings where necessary.
  • Ensuring computer equipment, completing new starter forms and on-boarding tools, and arranging/coordinating all new hire materials for new starters.
  • Tracking department budget as directed.
  • Creating or assisting in the creation of presentation materials and drafts technical documents as needed.
  • Gathering, collecting, recording, tracking and verifying relatively complex data and information from multiple sources.
  • Liaising with external agencies or organisations to coordinate activities which are important to the function of the teams.

Skills and Requirements:

  • Demonstrable experience in a commercial and regulated organisation.
  • Proficiency with MS Office Suites.
  • Demonstrably exceptional written and oral presentation skills.
  • Knowledge and understanding of administrative and office policies and procedures is a requirement for this role.
  • Excellent analytical skills.
  • Excellent interpersonal, communication and presentation skills, including fostering conflict resolution
  • Being able to multi-task independently with minimal supervision.
  • Self-starting team player.
  • Problem solving attitude and structured approach to work.
  • Fluency in both verbal and written English.
